  • Facility Rental Policies

  • Payment: Your reservation is binding with a completed & signed contract. Payment is due in full 10 days prior to your event or at the time of signing if less than 10 days.

    Cancellation Policy: Cancellations 10 days before events receive a 100% refund. Cancellations 9 - 5 days before events will receive a 50% refund. If cancellation occurs 4 days or less before the event, the full meeting room rental fee will be assessed. If cancellation is due to Covid you will receive a 100% refund. Cancellation must be received in writing or confirmed verbally with the Facility Manager.

    Key Check Out: DUE TO COVID our office is not officially open, staff are in the office sporadically. Please contact Marianne for key pick up prior to your meeting. If the key is not returned to the lock box immediately after the meeting, you will be charged a re-keying fee of $50.00.

    Food: DUE TO COVID we ask that you do not use our kitchen except for filling water bottles. Please do not use our dishware. If you will be serving food at your event please reduce your environmental impact by rethinking your waste options.

    Alcohol: If alcoholic beverages will be offered at your event, proof of liability insurance is required. No sales of alcoholic beverages are allowed in our building.

    Schedule: Clean up and check out within your scheduled time so others can use the facility.

    Internet Use: We do have on sight wifi. The password is posted above the light switch in each room.

    Event Promotion: Any public advertising of your event must state that: “This event does not necessarily reflect the mission/opinion of The Environmental Center.” Please do NOT give our phone number as a contact for your event.

    Parking: There is two-hour street parking available directly in front of the Center. There is a two-hour City of Bend parking lot just west of the Center (next to Troy Field). For longer than two hours there is a city parking garage 3 blocks to the north on Lava Road. Please do not block any driveways and be respectful of our neighbors.

    ADA Access: The Center has one ADA parking space and an entry ramp located in the rear of the building off the alley. You may access the alley from Lava Road. Please contact the Center if you have additional questions about accessibility of our building.

    Facility Maintenance: Please report any spills, broken, or malfunctioning features of our building to the Facility Manager, Marianne Pyott ().

    Emergencies: In case of life-threatening emergency, please call 911. In case of a facility emergency call Marianne; 541-788-2105 or Mike; 541-420-8565.

  • Insurance

  • For businesses and non-profit entities please provide a certificate of liability insurance naming The Environmental Center as additional insured with endorsement for your event. If you rent throughout the year use dates for the whole year. For private parties serving alcohol you must also provide us with liability insurance.   • Covid Guidelines

    As the person making the reservation I agree to the below guidelines. If I'm not attending the event I will assign a representative to follow the below guidelines.
  • In light of the ongoing spread of COVID-19, individuals who have experienced the following should not enter our building: Individuals who currently or within the past fourteen (14) days have experienced any symptoms associated with COVID-19, which include fever, cough, and shortness of breath among others. Individuals who believe that they may have been exposed to a confirmed or suspected case of COVID-19 or have been diagnosed with COVID-19 and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for their treatment.
  • As the point of contact, I ensure all attendees sign-in on a contact tracing sheet with their name address, and phone numbers for contact tracing purposes. I will keep the sign in sheet for 60 days as recommended by OHA.
  • If any attendees become ill with Covid-19 within 14 days of the event I will contact The Environmental Center.
  • As the point of contact, I will ensure that each individual in our group sanitizes or washes their hands when we enter the building. Sanitizer is located on the table upon entering, bathrooms are down the hall.
  • As the point of contact, I will ensure that our group wears masks while in the building unless eating or drinking.
  • As the point of contact, I will ensure that our group will maintain 6 foot distancing when possible.
  • As the point of contact, I will ensure to sanitize all touched surfaces (ie. chairs, table surfaces, white board pens, fan switches, windows, light switches, door handles) after our event is over and before leaving the building. Spray sanitizer is located in each room.
  • As the point of contact, I will ensure that the kitchen and bathrooms will be sprayed down with sanitizer after our event is over and before leaving the building.
    As the point of contact, I will ensure that our group participants refrain from lingering in the lobby and/or hallways and instead move directly into and remain in the meeting room.
  • Check in/out Guidelines

  • You are responsible for your own set up and clean up. If additional cleaning of a meeting room is required directly after your usage, a cleaning charge (minimum charge of $20) will be accessed.
  • Terms

  • I hereby release, waive and forever discharge any and all liability, claims, and demands of whatever kind or nature against The Environmental Center and its affiliated partners and sponsors, including in each case, without limitation, their directors, officers, employees, volunteers, and agents (the “released parties”), either in law or in equity, to the fullest extent permissible by law, including but not limited to injury, illness, or death (including Covid-19 related) to persons or property occurring as a result of any activities and agree to pay for any and all damage to the facility, building, equipment, and/or furniture owned or controlled by the Center, which results from any scheduled activities or is caused by any participant in any scheduled activities.

    I have read, understand and agree to comply with the policies, guidelines, and terms set forth regarding facility usage. I further agree that I am of legal age and will be personally responsible for the repair of damage to property or facilities and for replacement of stolen property.
