  • Facility Rental Policies

  • Payment:Your reservation is binding upon receipt of the reservation confirmation email. Payment is due in full 10 days prior to your event or at the time of signing if less than 10 days.

    Cancellation Policy: Cancellations 10 days before events receive a 100% refund. Cancellations after 9-0 days before rental date will be assessed the full meeting room rental fee. Cancellation must be received in writing or confirmed verbally with the Facility Manager.

    Event Promotion: Any public advertising of your event must state that: “This event does not necessarily reflect the mission/opinion of The Environmental Center.” Please do NOT give our phone number as a contact for your event.

    Key Code: If your event starts before 9am, after 5pm, or on the weekend please see your reservation confirmation email for a key code prior to your event.

    Schedule: Clean up and check out within your scheduled time as we often have back-to-back renters in the facility.

    Food: If you will be serving food at your event please reduce your environmental impact by rethinking your waste options. See https://envirocenter.org/programs/rethink-waste-project/what-we-offer/reusables-rental-request/ for the Rethink Waste Resubale dishware kits.

    Alcohol: If alcoholic beverages will be offered at your event, proof of liability insurance is required. It is your responsibility to obtain a certificate of insurance from your insurance provider Please email us a copy prior to the day of your event. No sales of alcoholic beverages are allowed in our building.

    Parking: There is free two-hour street parking available directly in front of The Center on Kansas Avenue. City of Bend metered parking is available just west of The Center (next to Troy Field) as well as throughout the residential streets in which The Center is situated. Please do not park in our staff’s parking area behind The Center and do not block any driveways of our neighbors around the building. Please note that the Environmental Center will not be responsible for parking infractions incurred during your event at The Center.

    ADA Access: The Center has one ADA parking space and an entry ramp located in the rear of the building off the alley. You may access the alley from Lava Road. Please contact the Center if you have additional questions about accessibility of our building.

    Internet Use: We offer free high speed Wi-Fi to our renters. The password is posted above the light switches in each room.

    Technology Use: You must select “Equipment needed” on the rental request form in order to use our technology equipment. The TV in the larger Audubon room must stay on the far side of the room. DO NOT attempt to move the TV past the center beam as the camera on top will hit the beam and cause damage. Renters will be responsible for any damage and replacement costs.

    Facility Maintenance: Please report any spills, broken, or malfunctioning features of our building to the Business Manager, Janet Llerandi Gonzalez (Janet@envirocenter.org).

    Emergencies: In case of life-threatening emergency, please call 911. In case of a facility emergency call or text Janet; 541-508-5262 or Mike; 541-508-4005.

  • All facility renters must provide a certificate of liability insurance naming The Environmental Center as additional insured with endorsement for your event. If you rent throughout the year use dates for the whole year. Please upload your certificate here or email it separately to janet@envirocenter.org no later than 10 days prior to your event.

  • Please check each box indicating you have read, understand, and agree to the below guidelines.* You are responsible for your own set up, tear down and clean up. Failure to tear down and clean up after your event as outlined below will result in a minimum cleaning charge of $50.

  • I hereby release, waive and forever discharge any and all liability, claims, and demands of whatever kind or nature against The Environmental Center and its affiliated partners and sponsors, including in each case, without limitation, their directors, officers, employees, volunteers, and agents (the “released parties”), either in law or in equity, to the fullest extent permissible by law, including but not limited to injury, illness, or death to persons or property occurring as a result of any activities and agree to pay for any and all damage to the facility, building, equipment, and/or furniture owned or controlled by The Center, which results from any scheduled activities or is caused by any participant in any scheduled activities.

    I have read, understand and agree to comply with the policies, guidelines, and terms set forth regarding facility usage. I further agree that I am of legal age and the entity (group, business, or individual) listed above in this reservation form will be responsible for the repair of damage to property or facilities and for replacement of stolen property.
